3.4 Contact Preferences
The "Contact preferences" tab allows you to mass-update the do-not-mail, Do-Not-Email and do-not-call flags.
You are able to (7) select to Set or Clear a flag from your contacts. Clicking (8) Go will automatically assign or remove the flag of your choice.
The "De-duplication" tab allows you to compress multiple similar contacts into a single contact record. You achieve this by first selecting multiple, seemingly duplicate records from the results, then clicking (9) Process selected contacts.
You may work your way through the fields, selecting the desired value from the options available. There are four different drop-down values:
- SELECT - Means you must select an item from the list.
- NO VALUE - Means this field is to have no value. Used by default on address line two.
- NEW DETAILS - Means you is to provide a completely new value for the field (a textbox will be displayed to accept the new value).
- Other Options - These are the values taken from the selected results. You are free to select them or provide new ones.
Where there is only one value found for a particular field, that value will be selected by default.
When you have finished making changes, click the (10) Process details button. This will create a new contact record with the selected values, and link all records linked to the selected contacts to this "new" contact. The results will refresh and you will notice that the duplicates have been removed.
It is still possible to see what appears to be a duplicate, where a single contact is listed as at least two different types of contacts (prospect, applicant and/or borrower). The details will be the same, however, the Type column will display their respective types.
